At Fairy and the Frog, we are passionate about creating magical, stress-free celebrations for families. To ensure every event runs smoothly, please carefully read our Party Venue Policies prior to securing your booking.
By securing a booking with Fairy and the Frog, you acknowledge that you have read and agreed to the following Party Venue Policies.
Deposits & Securing Your Booking
- A deposit is required to secure your party booking.
- Deposits must be paid by the due date provided on your invoice.
- Fairy and the Frog reserves the right to release your date and offer it to another client if the deposit has not been received by the requested timeframe.
- All deposits are non-refundable
Transfers & Cancellations
- Deposits may be transferred to another available date if at least 6 weeks’ notice is provided.
- Transfer requests made with less than 6 weeks’ notice may be accommodated at management discretion depending on venue availability.
- If Fairy and the Frog is unable to rebook your original party date, transfer requests may not be approved.
- Refunds are not provided for cancellations, change of mind, illness, weather, or reduced guest numbers.
Final Payments
- Full payment for your party, catering, and extras must be finalised no later than 7 days prior to your event.
- Final guest numbers provided by the client will be used for staffing and catering preparation.
Arrival Times & Venue Access
- To allow sufficient time for venue setup, cleaning, staff breaks, and preparation between events, guests may not enter the venue earlier than 15 minutes prior to the scheduled party start time.
- Fairy and the Frog will open its doors 15 minutes prior to the scheduled start time to welcome the birthday child and their immediate family only.
- If guests arrive before the venue opens, we kindly ask that they wait outside the venue until staff are ready to welcome them inside.
- Seating is available on the bar stools located outside the venue for families who arrive early.
- Early access to the venue is not available unless specifically approved by management prior to the event.
Party Duration & Departure Times
- All Fairy and the Frog party packages are based on a 2-hour event duration.
- The venue booking includes up to 15 minutes after the scheduled finish time for guests to gather belongings, say goodbye, and depart the venue.
- To allow our team sufficient time for venue cleaning, pack down, and preparation for upcoming events, all guests must vacate the premises within 15 minutes of the scheduled party finish time.
- Clients are responsible for ensuring that parents and guests collect children promptly at the conclusion of the party.
- Fairy and the Frog reserves the right to conclude the event and commence venue pack down at the scheduled finish time.
Catering Policy
- Fairy and the Frog is a fully hosted private venue with in-house catering.
- As a registered food business operating an onsite commercial kitchen, Fairy and the Frog follows strict food safety, catering, and venue procedures.
- Catering for all attending children is compulsory.
- All children attending the party are required to be catered for through Fairy and the Frog.
- Children’s catering selections must be chosen from the official Kids Menu only.
- Adult catering is optional but highly recommended.
- External food and drinks are strictly not permitted at the venue, excluding the birthday cake and small dessert items for the children’s cake table such as cupcakes, cookies or similar sweet treats intended for children only.
- Any additional children attending unexpectedly on the day will incur the standard children’s catering charge per child.
Drinks & Beverage Service
- Fairy and the Frog employs a professional barista for events.
- A minimum combined drinks spend of $80 applies per event.
- We accept one final payment for drinks at the conclusion of the party.
- Individual guest payments are not accepted.
- Final drink payment must be made before departing the venue via bank transfer.
Entertainment & Videography
- Videography and professional recording of our entertainers, performances, shows, scripts, and entertainment program is strictly prohibited.
- Families are welcome to take personal photographs and short videos of general party moments including dancing, singing, cake presentation, and classic party games.
Drop-Off Parties
- Fairy and the Frog does allow drop-off style parties for older children.
- For drop-off parties, only the parents/guardians of the birthday child may remain at the venue during the event.
- All other parents are kindly asked to drop children off promptly at the party start time and collect them promptly at the conclusion of the event.
- Please note that our front adult seating/dining area will not be set up or available during drop-off parties.
- For the safety and security of the children attending, our front entrance doors will remain locked throughout the duration of the party once all guests have arrived.
- This policy helps ensure that no unauthorised persons are able to enter the venue during the event.
Damages & Liability
- Clients may be held responsible for any damages caused to the venue, furniture, decorations, costumes, equipment, or property by guests attending their event.
- Fairy and the Frog accepts no responsibility for loss, theft, damage to personal belongings, accidents, injuries, allergies, or incidents occurring at the venue.
Allergies & Dietary Requirements
- While every care is taken in food preparation, Fairy and the Frog cannot guarantee an allergen-free environment.
- It is the client’s responsibility to notify us in writing of any allergies or dietary requirements prior to the event.
Late Arrivals
- Party times are strictly scheduled.
- Late arrivals may reduce the overall duration of activities or entertainment included in your package.
Right to Refuse or Cancel Bookings
- Fairy and the Frog reserves the right to refuse, cancel, or terminate a booking if venue policies are not adhered to, payments are outstanding, or behaviour toward staff is abusive, threatening, or inappropriate.
